We are currently seeking a detail-oriented Administrative Assistant I or II to support the Marketing area within the Jindal School of Management (JSOM).

The Administrative Assistant I or II provides essential administrative support to faculty and students in the Jindal School of Management (JSOM). This position is responsible for managing tasks critical to the success of students, faculty, and staff, including administrative, financial, and budgetary support. The role includes maintaining tracking spreadsheets, reporting tools, and managing the operating budget for the Healthcare Management Area and the Center for Healthcare Leadership and Management.

Administrative Assistant I, position information

Salary Range: $36,872 to $39,500, depending on experience

Administrative Assistant II, position information
FLSA:
Non-exempt
Salary Range: $43,500 – $45,000, depending on experience
Minimum Education and Experience
Administrative Assistant I:
Bachelor’s degree and two years office administration or project management experience or an equivalent combination of education and experience.

Administrative Assistant II:
Bachelor’s degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.

To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position.
Essential Duties and Responsibilities
Administrative Assistant I
  • Provide day-to-day administrative support, including calendar management, meeting coordination, and internal communications.
  • Complete account reconciliation of monthly financial transactions in PeopleSoft against supporting documentation for faculty cost centers.
  • Identify incorrect or missing charges and take appropriate action.
  • Notify and periodically update faculty regarding available funds in their cost centers.
  • Assist with the planning and execution of department events, including conferences, meetings, and mixers.
  • Support faculty and the department in following University procurement business practices.
    • Obtain quotes and determine appropriate purchasing methods for supplies and equipment.
    • Use online purchasing or the eProcurement system as needed.
    • Periodically review encumbrances and purchase orders to ensure payments are posted and encumbrances released, promoting efficient fund use.
  • Review budgets and initiate budget journals prior to purchases or travel arrangements.
  • Coordinate travel arrangements and reimbursements in accordance with University policies.
  • Plan and execute events and meal arrangements for faculty and their guests.
  • Provide support for program meetings and events, including:
    • Creating posters and emails.
    • Arranging travel and hotel accommodations.
    • Coordinating meals, scheduling visits and itineraries, processing reimbursements.
    • Managing parking or Uber needs, providing maps, and communicating with guests.
  • Make conference room reservations for faculty, student events, and meetings.
  • Perform other duties as assigned.

Administrative Assistant II
(In addition to the responsibilities listed above)
  • Provide independent administrative support to area faculty.
  • Assist in the day-to-day operations of the Healthcare Area, providing academic and administrative support to the Program Director and affiliated faculty.
  • Support Ph.D. students with matters related to budgets, travel, the job market, and other needs.
  • Manage student and faculty reminders and maintain records for current and former students.

Remote Work Notice
A hybrid remote work schedule may be available (currently 1-day remote weekly). Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required upon employment, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be canceled at any time.
