Job Summary
Join the dynamic team at the Jindal School of Management (JSOM) as an Administrative Assistant II, where you’ll be at the heart of supporting our fast-paced, high-impact development team. In this pivotal role, you’ll not only manage essential administrative tasks but also contribute to department events, student engagement initiatives, and the upkeep of donor and alumni databases.

Minimum Education and Experience

Bachelor’s degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.

Preferred Skills & Qualifications:
  • Strong writing and editing skills.
  • Proficiency with Microsoft Office Suite and willingness to learn new software tools.
  • Familiarity with social media platforms and digital communication tools.
  • Excellent organizational skills and attention to detail.

To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position.
Essential Duties and Responsibilities

  • Provide day-to-day administrative support a team of 5-7, including calendar management, meeting coordination, and internal communications.
  • Maintain and reconcile budget reports, process expenditures, reimbursements, and cost center transactions.
  • Coordinate travel arrangements and process travel reimbursements.
  • Manage office supplies and assist with onboarding new staff members.
  • Reserve rooms, parking, and other campus resources as needed.
  • Support planning and execution of department events and student engagement activities.
  • Assist with updates to donor and alumni databases
  • Help coordinate various communications
  • Supervise 1–2 student workers and delegate tasks as appropriate.

Remote Work Notice
A hybrid remote work schedule may be available (currently 1-day remote weekly). Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required upon employment, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be canceled at any time.
