Job Summary | The Administrative Assistant II will provide support and be the first point of contact to the Associate Vice President for Student Affairs, the Assistant Vice President for Residential Life and the Senior Director of Housing Operations. Essential duties of this position will include maintaining calendars for staff members, managing meetings, transcribing meeting minutes, providing summaries, maintaining all Housing records, and support as necessary. Records to include database records of facility improvements, long-range plans, and other key aspects of StarRez maintenance operations. The Administrative Assistant will evaluate timecards and enter time for staff in the Housing as assigned, verifying accuracy and reporting issues as necessary to supervisors, prepare financial transactions, and track OneCard receipts for these three direct reports in addition to others within the department as necessary. This position will assist with administrative project assignments. Responsible for collaborating with others on various housing-related events and projects, including the inventory of housing equipment. This position will also prepare weekly, monthly, and quarterly reports as required, monitor departmental websites, handbooks, and provide proofreading of all housing documents and materials, collect, compose and submit weekly information for the Student Affairs Update, coordinate travel as required, compose student and campus correspondence as needed, provide backup to staff as necessary, and other duties as assigned. |
Minimum Education and Experience | Bachelor’s degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience. |

Additional Information | Remote Notice: After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
