Executive Assistant

Location: Dallas, TX (Hybrid)
Schedule: 4 days onsite, Fridays remote
Compensation: $60,000 - $65,000 base salary + 5% annual bonus
PTO: 3 weeks

Overview

Our client is seeking a highly organized and proactive Executive Assistant to support a fast-growing, high-performance organization. This individual will play a critical role in supporting executive leadership, coordinating business travel, managing events, and ensuring smooth day-to-day operations.

The ideal candidate is detail-oriented, resourceful, and able to anticipate needs while managing multiple priorities in a fast-paced environment.

Position Summary

The Executive Assistant will provide direct support to senior leadership while also coordinating company meetings, events, and special projects. This role requires exceptional organizational skills, discretion, professionalism, and the ability to work effectively across multiple teams.

This is a full-time, exempt position based in Dallas, Texas.

Key Responsibilities

Executive Support

  • Manage executive calendars, including scheduling meetings, conferences, virtual meetings, and travel arrangements.
  • Coordinate domestic and international travel, including flights, hotels, transportation, meeting logistics, and detailed itineraries.
  • Monitor travel schedules and proactively resolve cancellations, delays, and other travel-related issues.
  • Maintain records of travel expenses, confirmations, and supporting documentation.
  • Exercise sound judgment and discretion when handling confidential information.

Meeting & Event Coordination

  • Coordinate quarterly board meetings and leadership meetings.
  • Assist with planning company-wide meetings, sales meetings, and team events.
  • Manage event logistics including:
    • Venue selection
    • Catering
    • Transportation
    • Technology setup
    • Registration
    • Vendor management
    • Communications and attendee support
  • Support executive meetings, employee engagement events, and special projects.

Office Operations

  • Welcome and assist visitors, customers, and business partners in person and via phone.
  • Direct inquiries and ensure a positive office experience.
  • Order and replenish office snacks and supplies as needed.
  • Provide backup support for office administration functions.

Required Qualifications

Education & Experience

  • Bachelor's degree preferred but not required.
  • 3-5 years of administrative support experience.
  • 3-5 years of Executive Assistant experience supporting senior leaders.
  • Experience managing complex calendars and scheduling.
  • Experience coordinating domestic and international travel arrangements.
  • Strong event planning and project management experience.
  • Demonstrated attention to detail and strong follow-through skills.

Work Environment

This position operates primarily in an office environment. The role requires regular communication, computer use, and interaction with employees, vendors, and visitors. Occasional lifting of items up to 25 pounds may be required.
