Job Summary
Role: Meeting/Event Manager (or Meeting Planner)
This person is responsible for planning, organizing, and executing meetings, conferences, and events from start to finish. They manage logistics, venues, budgets, vendors, travel, food & beverage, contracts, speakers, and onsite event execution while ensuring a positive attendee experience.
Duration: 3 month contract with potential to extend
Key Responsibilities
1. Meeting & Event Planning
- Define meeting objectives and event requirements.
- Create project plans and timelines.
- Gather stakeholder needs and design event programs.
- Coordinate speakers, content, and event technology.
- Identify risks and escalate issues when necessary.
- Track project timelines and activities.
2. Venue, Facilities & Services Management
- Select event locations and venues.
- Coordinate security and facility requirements.
- Manage audiovisual (AV) and technology needs.
- Lead supplier briefings and post-event reviews.
- Organize and conduct site inspections.
3. Budget & Contract Management
- Build and manage event budgets.
- Negotiate vendor and venue contracts.
- Identify cost savings and revenue opportunities.
- Manage billing, payments, deposits, and reporting.
- Conduct RFP processes and vendor selection.
4. Event Logistics
- Manage registration and invitation processes.
- Coordinate travel and transportation.
- Oversee room setups, seating, and AV requirements.
- Manage hotel room blocks and housing reports.
- Coordinate shipping of event materials.
- Manage food and beverage requirements.
5. Program & Onsite Management
- Secure speakers and entertainment.
- Coordinate event-related marketing, media, and PR activities.
- Travel onsite and act as lead event owner.
- Collaborate with travel directors and event teams.
- Conduct post-event evaluations and provide stakeholder feedback.
Required Qualifications
Education
- Bachelor's degree or diploma in a related field preferred.
- Equivalent combination of education and experience may be considered.
Experience
- Minimum 3 years of:
- Meeting management
- Event planning
- Conference planning
- Hospitality/customer service experience
Preferred Certifications
- CMP (Certified Meeting Professional)
- Project Management certification
