About the Job
The Executive Field Engagement Coordinator is an integral part of the Executive Marketing team. You will support the rapidly growing Global Executive Field program, which is designed to curate a seamless executive experience in the field as leadership connects with top customers and prospects.
We are looking for someone with sharp attention to detail who can coordinate all phases of the executive field experience—from briefing document curation and structural organization of process infrastructure to cross-functional collaboration. You will support and assist the Global Executive Field Manager to deliver pre- and post-event program documents, schedule meetings, personalize briefing agendas, manage attendee communications and speakers, build presentation decks, and oversee ground logistics.
Responsibilities
- Schedule various meetings at executive events and work closely with stakeholders to ensure a seamless executive briefing experience.
- Create detailed briefing documents, calendar invites, presentation decks, and Slack channels.
- Update, track, and manage the statuses of active meeting requests using tools such as Salesforce.
- Act as an eagle-eyed manager of all logistical details surrounding executive engagements (down to exact transportation and scheduling details).
- Build out and maintain administrative tools and trackers for optimal efficiency.
- Take ownership of the end-to-end delivery of logistical tasks, spotting and resolving errors before they impact the executive experience.
Minimum Qualifications
- Proven track record with executive scheduling, logistical coordination, or event management.
- Incredible organizational skills with superb, eagle-eyed attention to detail.
- Excellent verbal and written communication skills, with an appropriate blend of professionalism and friendliness.
- A self-starter with a passion for learning who is creative, process-driven, and constantly looking for ways to improve efficiency.
- Experience using Google Workspace (G-Suite) and Slack in a professional environment.
Preferred Qualifications
- Experience in an Executive Assistant, Administrative, or high-volume Event Coordination capacity.
- Ability to confidently connect and interact with C-suite and executive-level leadership.
- Strong project management skills with the ability to manage multiple briefings simultaneously in a high-volume, fast-paced environment.
- Experience navigating complex organizations and effectively coordinating with cross-functional teams.
- Proficiency using Salesforce for tracking and updates.
