About the Role
Our client is seeking a highly organized and proactive Marketing Finance Operations Specialist to support the Marketing organization by owning financial operations, budget management, and cross-functional coordination.
This role serves as the primary liaison between Marketing, Finance, Procurement, Accounts Payable, and agency partners—ensuring the smooth execution of purchase orders, invoicing, budget tracking, and payment processes.
The ideal candidate thrives in a fast-paced environment, takes ownership of issues, and continuously identifies opportunities to improve efficiency and financial visibility.
Key Responsibilities
Financial Operations & Budget Management
- Serve as the primary finance operations contact for Marketing, including Paid Media, Earned & Owned channels, and internal Creative teams
- Own end-to-end purchase order (PO) management: creation, maintenance, tracking, and annual renewals
- Manage invoice processing, reconciliation, and payment follow-up to ensure accuracy and timeliness
- Track budgets, accruals, commitments, and spend against plan; highlight risks and variances
- Maintain accurate financial records and supporting documentation
Agency & Media Financial Management
- Oversee financial operations across paid media (national + retailer), agencies, and creative partners
- Review and reconcile media invoices against approved budgets, contracts, and POs
- Monitor agency spend and proactively identify discrepancies, overages, or risks
- Support monthly and quarterly budget reconciliation, accruals, and forecasting
Cross-Functional Partnership
- Collaborate with Marketing, Finance, Procurement, AP, and external partners to ensure smooth financial operations
- Lead resolution of PO, invoice, payment, and vendor issues across stakeholders
- Participate in financial review meetings and provide updates on spend, risks, and open items
- Serve as a go-to resource for financial processes, policies, and best practices
Process Improvement
- Identify opportunities to streamline workflows and reduce manual effort
- Perform root-cause analysis on recurring issues and implement sustainable solutions
- Develop reporting tools, trackers, and documentation to improve visibility and compliance
- Recommend scalable process enhancements aligned with business needs
Qualifications
Required
- 5+ years of experience in finance operations, accounting support, procurement, or business operations
- Experience managing purchase orders, invoicing, accruals, and budget tracking
- Hands-on experience working with marketing, media, or creative agencies
- Experience with media invoice reconciliation and agency billing processes
- Strong understanding of marketing spend categories (paid media, production, retainers, consulting)
- Proven ability to identify discrepancies, solve problems, and drive resolution across teams
- Advanced Excel skills and experience with financial tracking/reporting tools
- Strong organizational, analytical, and multitasking skills in a fast-paced environment
Preferred
- Experience supporting marketing teams within CPG, retail, or similar industries
- Familiarity with SAP or similar procurement/financial systems
- Experience with budgeting, forecasting, and accrual management
- Understanding of media buying, agency compensation models, and reconciliations
