Job Title: US Payroll, Absence & Timekeeping Administrator
Location: Remote- Anywhere
Duration: 3 months (or more)

Shift: 9am - 5pm CST (some flexibility if needed)
Job Summary: The US Payroll, Absence & Timekeeping Administrator coordinates the collection, validation, and advancement of time, absence, and EIB data to support accurate payroll processing. This role is responsible for payroll tax audits, leave of absence (LOA) administration, system integrations, SOC control support, and ensuring data integrity across payroll, HRIS, and third-party vendor systems.
Key Responsibilities:
- Payroll & Tax Administration:
- Coordinate time, absence, and EIB data submissions to support payroll processing.
- Perform regular audits of payroll taxes, including wage reporting and payment of tax liabilities on a quarterly and annual basis.
- Analyze income tax wages and liabilities and reconcile results to financial records.
- Identify discrepancies related to work and resident state and local tax assignments and prepare supporting analysis.
- Review and approve off-cycle payroll runs.
- Analyze and verify third-party sick payments and prepare data for W‑2 reporting.
- Oversee RSU and stock option recording within employee records.
- Validate garnishment orders between third-party vendors and HRIS systems.
- Time, Absence & Leave of Absence (LOA) Management
- Monitor and administer leave of absence claims, partnering closely with associates, leaders, and internal stakeholders.
- Audit and validate leave of absence status, payments, and retroactive adjustments.
- Validate LOA data alignment between vendors and HRIS systems.
- Ensure appropriate return-to-work documentation is received and approve related Workday requests.
- Validate leave or job protection expirations and ensure required communications and letters are generated and delivered.
- Administer Reduction in Force (RIF) tracking processes, including creation and distribution of e-signature separation and severance documents.
- Systems, Integrations & Controls
- Ensure timely system advancement of time and absence data to payroll processing.
- Monitor integrations supporting payroll and financial reporting; troubleshoot and resolve errors or warnings for inbound and outbound interfaces.
- Prepare and maintain control reports supporting internal SOX/SOC compliance for each payroll cycle.
- Collect and validate audit support data for periodic SOC control reviews.
- Import and validate EIB payment requests.
- Act as a liaison between Payroll and Systems teams to implement system requirements, enhancements, and revisions, including user acceptance testing.
- Partner with payroll staff to identify system improvement opportunities, recommend process enhancements, and support technical troubleshooting.
- Participate in system testing and analyze post‑implementation results of system changes.
- Analytics & Reporting
- Prepare detailed analytics and reporting using payroll, timekeeping, and leave of absence systems.
- Monitor financial reporting integrations at the completion of each payroll cycle.
Qualifications & Requirements
- Proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
- Strong attention to detail with the ability to analyze and summarize large data sets.
- Excellent written and verbal communication skills.
- Strong organizational, time management, and prioritization skills with the ability to adapt in a dynamic environment.
