Job Title: Program Assistant

Location: Downey, CA 90241 (Fully Remote)
Work Schedule: Monday–Friday, 7:00 AM – 4:00 PM
Employment Type: 2‑year contract with potential extension or conversion to permanent based on performance and business needs


About the Role

We are seeking a detail‑oriented and customer‑focused Program Assistant to support the daily operations of assigned programs. This role is ideal for a self‑starter who thrives in a fast‑paced, high‑volume environment and enjoys working across teams to ensure smooth program execution and exceptional customer experience.


Responsibilities

  • Support day‑to‑day operations of residential and commercial programs to ensure efficient and timely delivery
  • Provide comprehensive administrative and operational support to Program Team Leads, Supervisors, and Advisors
  • Process customer requests efficiently and coordinate with external vendors to meet service timelines
  • Respond to customer inquiries via phone, live chat, and email with a high level of professionalism and customer care
  • Maintain accurate program documentation, records, and organized filing systems
  • Perform precise data entry and update program databases, spreadsheets, and tracking tools
  • Assist with budget tracking, reporting, and reconciliation activities
  • Support planning and organization of program‑related meetings, events, and outreach initiatives
  • Prepare training, communication, and outreach materials as needed
  • Assist in developing and improving program procedures to enhance operational effectiveness
  • Communicate program‑related information clearly and professionally to internal teams, vendors, and customers

Minimum Qualifications

  • High school diploma or equivalent
  • 1+ years of customer service experience in a high‑volume environment (e.g., call center, intake coordination, service desk)
  • Strong attention to detail and ability to manage multiple tasks simultaneously
  • Proficiency with basic computer applications, including spreadsheets, databases, and email tools
  • Excellent written and verbal communication skills

Preferred Qualifications

  • Experience supporting utility, energy, or public service programs
  • Experience handling intake calls, customer coordination, or vendor communication
  • Strong analytical skills with the ability to identify process improvements
  • Ability to work independently as a quick learner and self‑starter in a remote environment
