Position Title: Office Coordinator
Location: Dallas, TX

Your role:
The Office Coordinator is the face of the Dallas office, responsible for daily front desk and reception operations while supporting the Office Manager and contributing to overall office efficiency. This role is a critical team player, responsible for inventory tracking, guest and vendor management, mail services, event coordination, and general administrative support. The Office Coordinator ensures the office runs smoothly and provides an exceptional experience for employees and visitors.

What you'll do:

  • Greet visitors, answer incoming calls, and maintain a clean, professional reception area.
  • Scan and sort incoming mail, notify recipients, and manage outgoing packages (USPS, FedEx, courier services).
  • Track office, kitchen, and pantry inventory; communicate supply needs to the Office Manager.
  • Restock and organize the breakrooms and common areas.
  • Support safety efforts as an Incident Commander and maintain emergency kits.
  • Assist with the setup, breakdown, and decoration for onsite events and monthly luncheons.
  • Support employee onboarding/offboarding by managing email portal updates and conference room bookings.
  • Submit building work orders and access badge requests in coordination with the Office Manager.
  • Provide light administrative support to departments without dedicated admin staff.
  • Maintain contact lists, shared calendars, and manage room reservations (SmartWay2/Outlook).
  • Collaborate closely with the Office Manager to ensure seamless daily operations and employee satisfaction.

What you'll bring:

  • 1–2 years of experience in a corporate or customer-facing environment.
  • Strong interpersonal and communication skills.
  • Highly organized with attention to detail.
  • Ability to lift 25lbs and move supplies as needed.
  • Proficiency in Microsoft Office and email/calendar systems.
  • Customer-first attitude and proactive problem-solving mindset.
  • High school diploma or equivalent required.
