What will your typical day look like?

As an Executive Search Coordinator, you will serve as a trusted partner to the Executive Search (COE), providing end to end coordination and operational support across executive and leadership searches and project priorities. You will play a critical role in ensuring an exceptional experience for candidates, business leaders, vendors and the Executive Search team by managing complex search logistics, maintaining search governance, coordinating executive interviews, producing executive-level materials, and supporting continuous process improvement. You will manage multiple concurrent priorities while ensuring accuracy, confidentiality, and timely execution throughout every stage of the search lifecycle.

Roles & Responsibilities:

  • Coordinate end-to-end executive search activities across multiple concurrent searches, ensuring timely execution and adherence to search milestones.
  • Manage complex interview scheduling and calendar coordination for senior executives, Partners, candidates, and key stakeholders.
  • Deliver a high-touch candidate experience through proactive communication and seamless coordination throughout the search lifecycle.
  • Prepare executive search materials including candidate summaries, interview guides, presentations, search updates, and status reports.
  • Maintain accurate candidate records and search documentation within the Applicant Tracking System (ATS) and CRM, ensuring data integrity and governance.
  • Produce search metrics, pipeline reports, and dashboards to support business reporting and decisionmaking.
  • Coordinate onboarding activities and facilitate a smooth transition for executive hires.
  • Support market research activities by organizing company, industry, and candidate intelligence.
  • Collaborate with internal teams, Executive Assistants, vendors, and business stakeholders to ensure an efficient and high-quality search process.
  • Identify opportunities to improve processes, leverage technology, and enhance operational excellence across the Executive Search Centre of Expertise (COE).
  • Handle confidential information with professionalism, discretion, and sound judgment.

About the team

The Executive Search Team, collaborates and interacts with business stakeholders to ensure support in development of executive search strategy, action planning, and execution. The team leads highly confidential executive, Partner,\ C-suite, Board, and critical leadership searches while providing strategic market intelligence, executive search advisory, and talent mapping.

As part of this high-performing team, you will contribute to the successful execution of executive search engagements by ensuring operational excellence, search governance, process consistency, and an exceptional experience for candidates and stakeholders throughout the recruitment lifecycle.

We are looking for someone with:

  • Experience supporting executive recruitment, executive search, talent acquisition, project coordination, or executive administration within a professional services or corporate environment.
  • Strong project management and organizational skills with the ability to manage multiple priorities simultaneously.
  • Experience working with Applicant Tracking Systems (ATS), CRM platforms, or executive search databases.
  • Experience preparing executive-level reports, presentations, dashboards, and correspondence.
  • Exceptional attention to detail and commitment to accuracy.
  • Excellent written, verbal, and interpersonal communication skills.
  • Advanced proficiency in Microsoft Office (PowerPoint, Excel, Word, Outlook and Teams).
  • Ability to build strong relationships with senior leaders, candidates, vendors, and cross-functional teams.
  • Strong judgment, discretion, diplomacy, and the ability to manage confidential and sensitive information.
  • Experience in executive search, professional services, consulting, or retained search is considered a strong asset.
