Job Summary

This position plays a key role in maintaining compliance with regulatory standards, supporting clinical education, and ensuring high-quality patient and student experiences. The Dental Front Desk Team Lead may also provide guidance and training to front desk staff or student workers to ensure efficient and professional clinic operations.

Essential Duties & Responsibilities

  • Coordinate and lead the day-to-day operations of the dental front desk, ensuring efficient patient flow, scheduling, and communication among dental hygiene faculty, students, and staff.

  • Manage the patient intake process, including greeting patients, verifying information, collecting forms, scheduling appointments, and processing check-outs.

  • Maintain accurate and current patient records in compliance with HIPAA and CODA standards.

  • Provide guidance and training to front desk staff or student workers as needed

  • Evaluate and implement front desk procedures to improve efficiency and patient experience while maintaining compliance and risk management standards.

  • Maintain professionalism and contribute to a positive team spirit by listening to others, accepting feedback, and treating all individuals with respect and consideration.

  • Provide excellent customer service in a high-volume, fast-paced clinical environment.

  • Perform all functions within compliance of applicable laws, Dallas College policies and procedures, and dental industry regulations.

  • Maintain knowledge of trends and best practices related to dental front desk operations through professional development activities.

  • Complete required professional development training hours per academic year.

  • Perform other duties as assigned.

  • Required Dallas College Professional Development Hours per Academic Year.

  • All employees are required to complete a minimum of 19 hours.

  • People leaders are required an additional 16 hours of leadership development.

  • Perform other duties not listed as assigned.

The following duties are required for People Leader roles specifically:

  • Exercises full discretion and decision-making authority in the recruitment, selection, hiring, mentoring, coaching, development & termination of staff, ensuring alignment with organizational goals, budgetary constraints, and workforce planning strategies.

  • Drive high performance by administering the performance management process timely, setting clear expectations, conducting performance evaluations, and implementing initiatives that enhance employee engagement, motivation, and retention.

Minimum and Preferred – Education, Experience, and/or Certifications

  • Associates degree with two (2) years of work-related experience.

  • High School Diploma may be considered for strong candidate.

  • School/Education Transcripts required

  • Proficiency in dental scheduling software (e.g., Dentrix, Dexis, or equivalent).

  • CPR certification required.

  • Ability to work extended hours beyond the regular 8:00 am to 5:00 pm workday, including nights and weekends as needed during peak periods.

Knowledge, Skills, and Abilities

  • Must be able to organize well and efficiently and have the ability to communicate and coordinate tasks and deadlines.

  • Utilize excellent interpersonal and verbal communication skills when interacting with internal/external stakeholders and constituents within the Dallas College community network.

  • Must be solution-oriented and effectively answer questions via phone and email to both internal and external Dallas College stakeholders.

  • Excellent time management skills, able to prioritize, and has solid organizational skills to complete assignments, projects, and tasks on time.

  • Strong communication skills to speak, listen, and write in a clear, thorough, and timely manner using appropriate and effective communication tools and techniques when interacting with stakeholders and constituents.

  • Ability to serve as coordinator of the daily operations of the community dental hygiene clinic.

  • Knowledge of Texas Dental Rules, Occupational Safety and Health Administration (OSHA) policies, the Health Insurance Portability and Accountability Act (HIPAA), the Commission on Dental Accreditation (CODA) Standards for Dental Hygiene, and the State of Texas Radiation Control Program.

  • Knowledge of Dexis and Dentrix or similar dental software systems.

  • Ability to create and maintain positive working relationships with students, faculty, staff, community dental and health clinics, and local dentists.

  • Must provide professional, friendly, and efficient customer service to administrators, faculty, staff, patients, students, and community visitors.

  • Must be able to prioritize and handle multiple tasks in a timely and efficient manner, exercising independent judgment and discretion when responding to internal and external requests for information.

  • Ability to analyze and evaluate front desk operations to maximize efficiency, compliance, and risk reduction.

  • Strong interpersonal and communication skills to present a variety of materials and convey information effectively to a diverse population.

  • Ability to provide quality customer service in both English and Spanish preferred.

  • Proficiency in Microsoft Office Suite, Outlook, and electronic health record systems preferred.

  • Demonstrates professionalism, confidentiality, cultural sensitivity, and a commitment to the mission and values of the Dallas College Dental Hygiene Program.
